CPC Company Vehicle and Accident Policy

Who’s eligible to drive a CPC Company Car?

  • Officers
    • Choice of a company-provided car or annual car allowance (no mileage reimbursement)
  • Senior Managers
    • Company car provided as part of overall compensation package
  • Division Managers, Regional and Operations Field Managers, Safety Managers
    • Position requires extensive auto travel and legitimate need
  • Employee’s spouse and adult children
    • Can operate CPC company-provided car if 25 years or older and have a valid driver’s license. No one under 25 can drive this car.
  • All drivers must have proof of a valid license which is not suspended or revoked in any state
  • All drivers, including employee’s spouse and adult children, must complete and sign the Driver History Request form. You also received this from John Bickel, Sr. If you haven’t already returned the form, please email it to Jacinda Hayes at CPC.

Why our Company Car privilege might be withdrawn

  • Abuse or misuse of vehicle
  • Failure to comply with CPC Company Car Policy rules and procedures
  • Deficient driving record
  • Conviction or guilty plea of driving while intoxicated or under influence of illegal controlled substance (either personal or company car)
  • Long-term disability – your vehicle may be reassigned and a new one reinstated upon recovery and return to work

What you’re responsible for

  • Drive defensively, in a safe and reliable manner
  • Know and all driving laws in areas you operate the car
  • Maintain a valid driver’s license in the state in which you live
  • All occupants of car must use seat belts at all times, without exception
  • Do not drive under influence of drugs and alcohol
  • Do not transport flammables, firearms or other hazardous materials
  • You must personally pay for any summons for parking tickets or traffic violations as soon as possible
  • If you accumulate excessive speeding violations and/or accidents, you may be excluded from CPC provided insurance and your car eligibility may be withdrawn
  • If your driver’s license is revoked, suspended or restricted for any reason, you must notify John Bickel, Sr. immediately
  • What to do:
    • If the accident is serious and involves another party, notify the local police
    • If anyone is injured, call immediately for medical assistance
    • Report your accident to the Enterprise 24 Hour Number – Call 800-325-8838
    • Then, report accident to John Bickel, Sr. or your Division Manager immediately
    • Investigate the damage to the vehicle(s)
    • Take pictures
    • Obtain information:
      • Names and addresses of owners, drivers and passengers involved
      • License plate and registration numbers of vehicles involved
      • Insurance company and policy numbers of other parties involved
      • Names and addresses of any witnesses
      • Badge and precinct numbers of law enforcement officers present
    • If an unattended vehicle is involved, attempt to notify the owner. If not directly possible, attach a note to the vehicle asking owner to contact you. Notify police immediately of your attempt to contact the owner.
    • Inform John Bickel, Sr. what occurred
    • Reports:
      • Complete and submit the Accident Report located on the eFleets app
      • Promptly complete all reports required by local law enforcement and state motor vehicle authorities. You may request their help in completing these reports or contact John Bickel, Sr. for assistance.
  • What not to do:
    • Do not express any opinion about who was at fault or give information except as required by law enforcement
    • Don’t sign any written statements for anyone except an identified representative of the insurance company
    • Do NOT report ANY accidents to CPC’s insurance company
  • What to be aware of:
    • If you are at fault for the accident, there is a $1,000 insurance deductible which may be your financial responsibility
    • If you allow someone other than your spouse or eligible children to drive your car and they are involved in an accident, you may be financially responsible for all damages to the car
  • Claims
    • If you are injured by the negligence of others in a vehicle accident, you may have a claim against the responsible party
    • If you are served any demand, claims or summons asserting your liability for the accident, you must contact John Bickel, Sr. immediately
    • Keep in mind you may owe reimbursement to CPC for any worker’s compensation benefits or payment under CPC medical plans that you have received if you are identified as negligent in the accident
  • Accident repair procedures
    • Submit Accident Report via eFleets app
    • Enterprise will coordinate next steps with you and direct you to location(s) where repairs can happen
  • If your company car is stolen, report the theft immediately to both the local police and to John Bickel, Sr.
  • Any attempted break-in or theft of items from your company car should also be reported to local police
  • Information to obtain and submit to John Bickel, Sr:
    • Copies of police report filed – keep one for your files as well
    • Name, badge and precinct numbers of officers responding
    • List by model and serial number of any equipment stolen
    • Date and location that theft occurred

Other responsibilities

  • You are expected to maintain your assigned vehicle in safe operating condition
    • Follow maintenance schedules in owner’s manual
    • Perform maintenance necessary to keep the warranty in effect
    • Never leave vehicle at a service facility without specific instructions as to what work needs to be done
    • Document that maintenance and service work was completed by maintaining receipts
  • Safety is paramount to us, so these actions are strictly prohibited:
    • Using a hand-held cellular telephone (for business or personal reasons) while operating a company-assigned vehicle
    • Dialing a cellular telephone while operating company vehicle
    • Using a cellular phone for CPC business while operating a personal vehicle
  • If you receive a call while driving, you are expected to pull off the road to accept the call or return the call after the vehicle is parked
  • Using a hands-free cellular device or hands-free attachment is permitted while operating a company-assigned vehicle, except in areas where all cell phone use is prohibited
  • “Cellular telephone” applies to any communication device, two-way radio or wireless communication device
  • Violation of this policy will be cause for disciplinary actions, up to and including discharge
  • Take reasonable precautions to prevent damage and theft of your vehicle and its contents, whether on personal or company business
  • Whenever you park and leave a company vehicle:
    • Roll up all windows
    • Lock all doors
    • Do not leave merchandise and equipment in open view
    • Lock all valuable items inside the trunk when vehicle is unattended
  • Park in a lighted area close to a business or hotel entrance
  • A company vehicle may not be operated in Mexico for any reason
  • You may operate in Canada when on CPC business if prior consent is received from John Bickel, Sr.
  • Do not fit your vehicle with a trailer hitch to pull a trailer or a boat without prior authorization from John Bickel, Sr.
  • A company vehicle should not be used to push another vehicle
  • No bumper or window stickers should be affixed to a company vehicle without prior consent from John Bickel, Sr.

Personal use


Company vehicles are to be used primarily for CPC business, however, limited personal use is allowed.

  • Must have eligible license and be over 25 years of age
  • All rules and procedures in this policy apply while they are operating the vehicle
  • It is your responsibility to ensure rules are followed
  • You are required to track business activity and miles driven in the Monthly Car Log within the eFleets app
  • The difference between mileage reported in the log and the ending odometer will be considered personal mileage
  • Personal use of a company-provided automobile is a taxable fringe benefit and subject to personal income tax
  • Personal use amount will be computed quarterly and all relevant payroll and income taxes associated will be deducted from your paycheck, as well as added to your W-2 at the end of the year
  • Certain employees may have the option of using their personal vehicle to fulfill job responsibilities and will be reimbursed on a cents-per-mile basis
  • Transport of a hitchhiker. This violates our insurance policy and must be observed for your own protection as well as CPC’s.
  • Use of vehicle for business other than your job duties and responsibilities
  • Accepting any form of compensation for carrying passengers or material

Vehicle operations

  • CPC pays for all costs to operate your company car, except repairs to optional equipment you have chosen and paid for
  • Submit operating expenses monthly to your immediate supervisor or on a Business Expense Auto Log
  • Overnight parking is allowed only when you are away from home or work on CPC business. Paid receipts should be submitted on an Expense Report.
  • Fines for parking or speeding violations are not reimbursable
  • Maintain the manufacturer recommended tire pressure
  • Check tire pressure at least once a month including the spare
  • Carefully inspect tires for uneven wear, cuts, fabric breaks and abrasions
  • Rotate tires every 7,000 to 10,000 miles
  • If your vehicle cannot be driven due to servicing or an accident, your may rent a car (with prior approval by John Bickel, Sr.) fulfill your job responsibilities
  • If you choose not to rent a car, you may use your personal car for CPC business and be reimbursed at the current rate
    • Includes the cost of gasoline, oil changes, repairs, maintenance, depreciation, car washes, tune-ups and insurance
  • You will be reimbursed separately for any parking and toll fees incurred
  • Complete an Expense Report to receive reimbursement, showing business miles driven (which does not include commuting mileage to work and home)
  • CPC insures company vehicles through a Fleet Auto Policy
  • You will receive information on insurance company covering your vehicle along and its insurance coverage at the time your vehicle is assigned. If you do not receive this information, please contact John Bickel, Sr. immediately.
  • Insurance cards and packets are issued once a year and must be kept in the car at all times. Failure to do so will result in a fine in most states
  • All licensing and registration renewal will be handled by Enterprise
  • Vehicle registration, insurance cards, and accident report envelopes and forms must be kept current and in the glove compartment
  • Send any vehicle renewal notices from the state motor vehicle department to Enterprise, who will authorize payment and distribute new tags to you
  • When taking delivery of a new vehicle, the dealer should either install a new license or transfer your old plates, if allowed by local/state law
